How to track provision costs related to COVID-19

Provision Map allows you to track COVID-19 related costs using the COVID-19 funding stream.

To find the COVID-19 funding stream in your school’s Provision Map account, mouse over the Admin tab and select the School settings option from the drop down menu.

Next, either scroll down to the Funding streams section or click on Funding streams in the navigation menu to the left.

You will see a list of the existing funding stream categories in your school’s Provision Map account, along with a new funding stream specifically for COVID-19.


Applying the COVID-19 funding stream to a provision

When you apply a new provision or edit an existing one, the COVID-19 funding stream category will be selectable from the Funding stream drop down menu.

After applying the COVID-19 funding stream to the provision, click on the Publish or Save button in the top right hand corner to save your changes.


Tracking COVID-19 through a cost report

Once provisions have been set up with the COVID-19 funding stream applied, you will be able to run cost reports that track COVID-19 related costs for your school.

To view a costs report in Provision Map, mouse over the Reports tab at the top of the page and select Costs from the drop down menu.

You will be presented with a list of criteria options for the cost report. First, apply the time frame that you would like the report to cover.

Next, select the breakdowns you will use to categorise the results. You can break the results down even further by specifying optional secondary and tertiary breakdowns.

To ensure that the cost report is specific to COVID-19, tick the checkbox labelled Filter by funding stream and select COVID-19.

Once you are happy with the chosen criteria, click on one of the three buttons below to generate the cost report.

The results of the COVID-19 cost report will then be displayed.
